What is Microsoft Flow?

Microsoft Flow is a tool designed to automate tasks, such as alerts, notifications, data collection, and communications.

It allows you to save time on day-to-day tasks, you can choose from almost 300 applications to increase the efficiency of your business.

Microsoft Flow is a tool aimed at users with a basic level of Office 365, i.e. it is not necessary to have extensive knowledge of the tool to be able to use it effectively.

How does it work?

The most important elements of Microsoft Flow are the connectors. Each connector or application has three important elements:

  • Triggers: Triggers are those that initiate the workflow. For example, "when the file is uploaded to SharePoint" or "when an email is sent". At a minimum, a connector has to have a trigger, otherwise the flow will not work.

  • Actions: Once the flow is executed, we must choose the actions to be performed. For example, when someone sends us an email from a certain address, I want Microsoft Flow to "save the document to a certain SharePoint".

  • Connections: We cannot forget that when we want to connect two applications, Microsoft Flow will ask us for your credentials (username and password) for each application we want to use.

How do you start with a workflow?

Once the flow is done, we will have it ready to work. The first thing to do is to activate it. If at some point we are not interested in the flow working, we can also deactivate it.

When the flow is activated, it is only necessary to execute the selected trigger for it to be executed. This means that whenever the trigger is executed, the flow will be executed.
